Your subscription registry: sources, owners, and editing

The registry is the system of record for every subscription: where records come from, how to edit them, and why owners matter.

What the registry is

The subscription registry is the system of record for every software subscription your company has — one row per vendor and product, with spend, renewal date, owner, status, and source. Most Manage features (renewal alerts, seat drift, budget views) read from it, so keeping it accurate pays off everywhere at once.

Where records come from

Each record carries a source so you always know where it originated:

  • manual — added by your team, one at a time
  • csv — bulk imported from a spreadsheet
  • integration — discovered by an identity provider connector, a vendor admin API, or a Plaid sync
  • cubbie — created automatically when you purchase through the Cubbie marketplace

Add and edit records

From the Subscriptions page you can add a single subscription, bulk import with CSV, or edit existing records — spend, renewal date, status (active, trial, paused, canceled), and notes.

Assign owners

Every subscription should have an owner: the person accountable for the renewal decision. Owners are set per record (name and email) and appear in the renewal calendar so reminders reach the right person. Unowned subscriptions are the ones that auto-renew unnoticed — assigning owners is the single highest-leverage cleanup you can do.

Attach documents

Contracts, invoices, and supporting documents attach directly to subscription records, so the paperwork lives next to the renewal it belongs to.

Work items

Tasks tied to renewals, ownership, documents, and approvals surface as work items on the Subscriptions page — a running queue of registry hygiene and renewal-prep actions for your team.

Keep it fresh

  • Connect an identity provider or Plaid so new tools surface automatically.
  • Re-import your CSV after big procurement cycles; vendor + product matching updates records rather than duplicating them.
  • Review statuses quarterly and mark dead tools canceled.
